Therapy Assistant runs on Organism, our private SaaS platform. Installing it is as simple as opening a browser, clicking "Install", and entering your details.
No terminal. No server configuration. No IT department.
Organism handles the database, the application, and the AI service — all orchestrated automatically on your own hardware. A mini PC under your desk, a NAS in your office, or a dedicated server. Your choice, your control.
Within minutes, you have a full practice management platform running locally. Your data never leaves your building.

The practice dashboard is your morning briefing. Open the app and immediately see:

- Today's sessions — upcoming appointments with client names, times, and session types
- Tasks due — overdue and upcoming tasks with priority indicators

Client Profiles
Open any client and you'll find everything organised across dedicated sections:
- Demographics — name, date of birth, contact details, emergency contacts, Medicare/insurance info
- Clinical summary — diagnoses (ICD-10/DSM-5), medications, allergies, risk level
- Session history — every session note linked chronologically with quick navigation
- Treatment plans — structured goals, interventions, target dates, and progress ratings

Quick Actions
Right-click any client for instant actions — discharge, archive, mark as inactive, or reassign to another clinician. Every destructive action requires confirmation. You can't accidentally discharge a client.
Provider Safeguards
The system prevents data integrity issues automatically. You can't delete a provider who has clients assigned to them, and you can't deactivate a clinician with an active caseload. The app tells you exactly what needs to change first.
Session Notes

Structured Templates
Session notes are built around structured fields, not blank text boxes:
- Session details — type (individual, couple, family, group), duration, location, billing codes
- Presenting issues — what the client brought to the session
- Interventions — therapeutic techniques applied (CBT, DBT, ACT, EMDR, etc.)
- Risk assessment — suicidal ideation, self-harm, harm to others, with severity ratings
- Safety planning — crisis contacts, coping strategies, warning signs
- Progress — movement toward treatment goals with structured ratings
- Follow-up — next session date, homework, referrals, and action items
AI-Assisted Drafting
After a session, describe what happened in plain language using the AI chat. The assistant drafts a complete clinical note — structured, formatted, and aligned with your preferred therapeutic framework.

Smart Linking
Every task can link to a client and a session. "Write referral letter for Sarah Chen" links directly to Sarah's record and the session where you discussed the referral. One click to open either.
Calendar Integration
Subscribe to external calendars via iCal/ICS feeds — your clinic scheduling system, public holidays for your state, shared team calendars, or your personal Google Calendar. Everything appears in one unified view alongside your tasks.
Priority and Deadlines
Four priority levels (urgent, high, medium, low) with colour coding. Overdue tasks surface on your dashboard automatically. The sidebar shows usage metrics so you always know your workload at a glance.
Provider Directory
Track your professional referral network:
- Provider records — name, practice, specialisation, contact details, provider numbers
- Client connections — see which clients were referred by each provider, and who you've referred to
- Referral patterns — understand your referral sources at a glance
- Quick filtering — search by name, specialisation, or practice
Providers link directly into client records as referring provider, primary GP, or specialist. The relationships are maintained automatically — you never lose track of who referred whom.
Reports and Analytics
Practice insights without the spreadsheet:
- Analytics dashboard — visual charts showing session volume, client demographics, and practice growth over time
- Client outcomes — track treatment progress and outcome measures across your caseload
- Session summaries — billing totals, session types, and duration breakdowns

Security That's Actually Secure
Your Data Is Encrypted
Every sensitive field — client names, session notes, treatment plans, contact details — is individually encrypted with AES-256-GCM before it hits the database. Each field uses a unique initialisation vector. If someone stole your entire database, they'd see nothing but scrambled text.
Your encryption key lives on your server. We don't have it. Nobody does except you.
Role-Based Access
Everyone sees exactly what they need and nothing more:

Quick Links
Pin frequently used external resources to the sidebar — NDIS portals, Medicare HPOS, AHPRA registration, professional association sites. Organisation links are visible to everyone; personal links are private to you.
Notifications
Configure browser notifications for appointment reminders, task deadlines, and practice updates. Choose exactly which events trigger alerts.
System Status
A footer status bar shows real-time system health — database connection, encryption status, AI service availability, and application version. Click it for detailed diagnostics, recent release notes, and update availability.
Why Self-Hosted?
Cloud-hosted practice management means trusting a company with your clients' most intimate disclosures. You're trusting their security practices, their employee access policies, and their business model continuing to align with yours.
Self-hosted means:
- Your data stays in your building. Not in a data centre you've never visited. In your office.
